UDALGO uses Calendly to allow visitors to book complimentary discovery calls.

The UDALGO website provides a link to Calendly. When you choose to book a discovery call, you are taken to Calendly's website where you can select an available appointment and provide the information required to arrange the call.

Information provided through Calendly may include:

Calendly may also process technical information associated with your use of its service.

Calendly's own privacy and cookie policies apply when you use its website.

6. Coaching information and confidentiality

Coaching is a confidential professional relationship.

Information shared during coaching will be treated as confidential in accordance with the UDALGO Coaching Agreement and applicable professional and ethical standards.

I may maintain brief coaching notes to support continuity, reflection and the effectiveness of the coaching relationship.

Coaching information will not be used for marketing, testimonials or other unrelated purposes without your permission.

7. Professional supervision

As part of my professional coaching practice, I participate in professional supervision.

Supervision supports ethical practice, professional reflection, learning and continuing professional development.

I may discuss themes or aspects of coaching work during supervision. Where this occurs, I will take reasonable steps to protect your identity and remove identifying information wherever possible.

8. Recording and transcription of coaching sessions

UDALGO uses Zoom and Microsoft Teams to conduct online coaching sessions.

With your agreement, coaching sessions may be recorded and transcribed using Fathom, an AI-powered meeting recording and transcription service.

Recording is optional. You may decline to have a session recorded without affecting the coaching relationship or the service you receive.

The purpose of recording and transcription is to support:

  • Accurate note-taking and continuity between sessions
  • Professional reflection
  • Professional supervision
  • Continuing professional development
  • The quality and effectiveness of my coaching practice

Where recording is agreed, Fathom may process the audio and/or video of the session and generate a transcript and AI-generated summary.

Fathom states that it is GDPR compliant and provides a Data Processing Agreement for customers located in the EU and UK. Fathom also states that its data is stored in the United States.

Fathom and AI model improvement

Fathom's use of data for product and AI improvement has been disabled on the UDALGO account. Fathom will therefore not use de-identified data from UDALGO coaching sessions for the improvement of its proprietary AI models.

Fathom also states that its AI sub processors are contractually prohibited from using customer data to train their AI models.

Zoom and Microsoft Teams

Zoom and Microsoft Teams may process information associated with coaching sessions, including meeting details, participant information, audio, video, chat messages, recordings and transcripts, depending on the features and settings used during a session.

Their respective privacy and data-processing arrangements apply to information processed directly by those services.

Recordings, transcripts and summaries will be treated as confidential coaching information and stored securely.

They will not be shared with third parties for purposes unrelated to the coaching relationship.

Where information from a coaching session is discussed as part of professional supervision, identifying information will be removed or protected wherever reasonably possible.

You may withdraw your agreement to recording at any time. Future sessions will then be conducted without recording.

You may also request deletion of recordings, transcripts or summaries relating to you, subject to any legal or professional requirements requiring the information to be retained.

9. Legal basis for processing your information

Depending on the circumstances, UDALGO may process personal information on the following legal bases:

Contract

Where processing is necessary to provide coaching services or manage a coaching relationship.

Legitimate interests

Where processing is reasonably necessary to operate and administer UDALGO, maintain appropriate professional records, communicate with clients or protect the security of our services.

Where processing is based on consent, you may withdraw that consent at any time.

10. International transfers

Some technology providers used by UDALGO may process or store personal information outside Ireland or the European Economic Area.

For example, Fathom states that its data is stored in the United States.

Calendly also processes personal information as part of its scheduling service and has published information concerning international data transfers.

Where personal information is transferred outside the EEA, UDALGO will take appropriate steps to ensure that the transfer is carried out in accordance with applicable data protection legislation and that appropriate safeguards are in place.

11. How long do we keep your information?

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required by law.

Different information may therefore be retained for different periods.

Coaching records

Brief coaching records will normally be retained for 12 months following the end of the coaching engagement, after which they will be securely deleted unless a longer retention period is required or justified.

Recordings, transcripts and summaries

Recordings, transcripts and AI-generated summaries will be retained only for as long as they are reasonably required for the purposes described in this Privacy Policy and the Coaching Agreement.

Where appropriate, deletion settings will be used within the relevant technology platforms.

You may request deletion of recordings, transcripts or summaries relating to you, subject to any legal or professional requirements requiring the information to be retained.

Financial records

Financial and accounting records will be retained for the period required by applicable tax and accounting legislation.

Discovery call information

Information relating to enquiries and discovery calls will be retained only for as long as reasonably necessary for administration, follow-up and legitimate business purposes.

12. Third-party service providers

UDALGO uses selected third-party technology providers to operate the business and deliver coaching services.

Used for scheduling complimentary discovery calls.

Used to conduct online coaching sessions.

Microsoft Teams

Used, where appropriate, to conduct online coaching sessions.

Fathom

Used, with the client's agreement, for recording, transcription and AI-generated meeting summaries.

Other service providers may be used where reasonably necessary for the operation of the coaching practice, including email, accounting, payment, cloud storage, website hosting and professional services.

Where a third party processes personal information on behalf of UDALGO, appropriate contractual and security arrangements will be maintained where required by applicable data protection legislation.

UDALGO takes reasonable technical and organisational measures to protect personal information against:
